MS PowerPoint: Slides, Views, Slide Show Keys, Transitions and Animations

Everything Punjab Police papers ask about PowerPoint: the window and placeholders, the views, slide show keys, ribbon tabs, transitions, templates and file types.

Punjab PolicePSSSB15 MIN READ

Microsoft PowerPoint (MS PowerPoint) is the Microsoft Office program for making presentations. A presentation is a set of slides, shown one after another on a screen or projector. Punjab Police SI and Constable papers ask about it almost every year. They ask about placeholders, the views, the slide show keys (F5, Shift+F5), the ribbon tabs, transitions and file types. This page starts with a labelled picture of the screen, then teaches each piece in turn.

Know the screen

The Normal view part by part, placeholders and slide layouts.

KEY TERM
Presentation and slide

A slide is one screen of a presentation, like one page of a book. A presentation is the whole file of slides. Playing the slides full screen for an audience is called the slide show.

Slide→Presentation (.pptx)→Slide show
Microsoft PowerPoint in Normal view
Redrawn PowerPoint window in Normal view with eight numbered parts: three ribbon tabs, the slides pane, the slide pane, a title placeholder, the notes pane and the view buttons
WHAT EACH NUMBER IS
  1. 1Transitions tab — Effects as one slide changes to the next. Its Duration box sets the speed.
  2. 2Animations tab — Effects on text and objects inside one slide.
  3. 3Slide Show tab — From Beginning (F5) and From Current Slide (Shift+F5).
  4. 4Slides pane (thumbnails) — Small pictures of all slides on the left. Click one to open it.
  5. 5Slide pane — The big centre area. You design the slide here: type, format and add pictures.
  6. 6Placeholder — Dotted box saying Click to add title. Click inside and type.
  7. 7Notes pane — Strip under the slide for speaker notes. The audience does not see them.
  8. 8View buttons — On the status bar: Normal, Slide Sorter, Reading View, Slide Show.
Normal view is the default view. This is where you make and edit slides. Image: MockSutra illustration (redrawn; not a Microsoft screenshot) · © MockSutra
  • Status bar: the bottom strip. It shows the slide number ("Slide 1 of 3"), the view buttons and zoom.
  • Ribbon: the strip of tabs and buttons at the top. The ribbon tabs part below shows which job lives on which tab.
  • Task pane: a side panel that opens for tools such as Format Shape or the Animation Pane. It is not a place on the slide.
KEY TERM
Placeholder

A placeholder is a box with a dotted border on a new slide. It says Click to add title or Click to add text. It is a pre-formatted container: its place, size and font are already set. You just click and type, or drop in a picture, table or chart.

Layout→Placeholders→Your content
Way 1
Placeholder

Click inside the dotted box and type.

Way 2
Text box

Insert tab → Text Box, draw it anywhere, type. A placeholder is a ready-made text box, so papers call the text box the usual way to add text.

Way 3
Inside a shape

Select a shape and start typing. The text sits inside it.

ClipArt is not a way to add text. It adds a ready-made drawing.

Built-in layoutWhat the slide gets
Title SlideA title and a subtitle. The first slide of a new presentation uses it, so it is called the title slide.
Title and ContentA title and one big content box
Section HeaderStarts a new section of the talk
Two Content / ComparisonTwo boxes side by side
Title Only / BlankJust a title, or nothing at all
Content / Picture with CaptionContent or a picture with a short caption
You pick a layout from Home → Layout or the New Slide drop-down. There is no "Paragraph Header" layout.

The views of PowerPoint

Normal, Outline, Slide Sorter, Notes Page, Reading and the masters.

KEY TERM
View

A view is a way of looking at the same presentation. Changing the view does not change your slides. You switch views from the View tab or the small buttons on the status bar.

ViewWhat you seeUse it to
NormalSlide pane, thumbnails and notes paneMake and edit slides (the default view)
OutlineOnly the text: titles and points of every slideDraft the talk as an outline or story board

Slide ShowOne slide filling the whole screenPresent to the audience
Slide Sorter view
Redrawn PowerPoint Slide Sorter view: six numbered slide thumbnails in two rows, a star under two of them, and the view buttons on the status bar
WHAT EACH NUMBER IS
  1. 1Slide thumbnail — One small picture per slide. Drag it to change the order.
  2. 2Star icon — This slide has a transition or an animation.
  3. 3Slide Sorter view button — On the status bar, next to the Normal button.
All slides appear as numbered thumbnails, in order. Here you sort slides; you edit them in Normal view. Image: MockSutra illustration (redrawn; not a Microsoft screenshot) · © MockSutra
WATCH IT · Watch: move a slide in Slide Sorter
Step by step
  1. Click the Slide Sorter view button on the status bar. All slides appear as thumbnails.
  2. Click slide 4, Hardware, to select it.
  3. Drag Hardware and drop it before Memory.
  4. The slides renumber by themselves: Hardware is now slide 3.
Why it matters: papers ask what Slide Sorter is for. This is the answer: see all slides at once and change their order. Image: MockSutra animation · © MockSutra
REMEMBER

Slide Sorter = sort the order. Outline = only the lines of text. Notes Page = notes on paper.

The Handout Master has four placeholders only: Header, Footer, Date, Page Number. It has no Outline placeholder. A master view is for design, not for reading notes while you present.
  • Speaker notes are typed in the Notes pane. You see them in Normal view, Notes Page view and Presenter View. The audience never sees them in the slide show.
  • Notes Page is a view on the View tab, in the same group as Normal, Outline and Slide Sorter.
QUICK CHECK
What is the purpose of the "Slide Sorter" view in MS PowerPoint?
Tap an option to answer
QUICK CHECK
Which of the following statements about PowerPoint view is/are correct? (i) Slide Sorter view displays all the slides in your presentation in horizontally sequenced thumbnails. (ii) Use Outline view to create an outline or story board for your presentation. (iii) The key benefit to working in Master view is that it allows you to view your notes while delivering your presentation.

KEY TERM
Presenter View

With two screens, the audience sees only the slide. Your screen shows the current slide, a preview of the next slide, your speaker notes and a timer. That makes it the best view to practise timing while reading notes. You switch it on from the Slide Show tab. In recent versions Alt+F5 also starts the show in Presenter View.

Ribbon tabs: which job lives where

Home, Insert, Design, Transitions, Animations, Slide Show, Review, View.

KEY TERM
Ribbon, tab and group

The ribbon is the strip of commands at the top. It is split into tabs (Home, Insert …). Each tab is split into groups, such as the Media group on the Insert tab. Papers often give a "function – tab" pair and ask if it is correct.

Ribbon→Tab→Group→Button
TabWhat you find there
FileNew, Open (with a Recent list), Save, Save As, Print
HomeNew Slide, Layout, Font, Paragraph, Drawing (Shapes, Arrange)
InsertTable, pictures, Illustrations (Shapes, SmartArt, Chart), Hyperlink, Text Box, Header & Footer, WordArt, Symbols, Media (Video, Audio)
DesignThemes, slide size and orientation, slide background
TransitionsEffects when one slide changes to the next, and their Duration
AnimationsEffects on text and objects inside a slide
Slide ShowFrom Beginning, From Current Slide, Custom Slide Show, Presenter View
ReviewSpelling (F7), Comments
ViewNormal, Outline, Slide Sorter, Notes Page, Reading View, the master views, Zoom
Rule of thumb: Insert adds things, Design sets the look, View only changes how you see the deck. Group names shift a little between versions.
KEY TERM
Contextual tab

Some tabs appear only when you select an object. Select a picture and Picture Tools (Format) appears. A shape or text box brings Drawing Tools. A table brings Table Tools. Newer versions may name them Picture Format and Shape Format.

Arrange
Order

Bring to Front, Send to Back: which object sits on top.

Arrange
Position

Align and Group: line objects up or join them.

Arrange
Rotation

Rotate or flip an object.

Arrange organises the layout. Shape Outline, Shape Effects and Quick Styles only change how a shape looks.

  • Charts: Insert → Chart opens a small Excel spreadsheet. You type the numbers there and the chart redraws. Later, use Edit Data to open it again.
  • ClipArt (PowerPoint 2010): Insert → Images → Clip Art opens a Clip Art pane. Later versions dropped Clip Art and offer online pictures instead.
  • Video and audio go in from the Media group of the Insert tab.

Design, transitions and animations

Templates and themes, the two kinds of motion, and good design.

TRANSITION VS ANIMATION
Transition
Animation
What moves
The whole slide, as it changes
One object on a slide
Tab
Transitions
Animations
Examples
Fade, Push, Wipe
Fly In, Zoom, Spin
Both have a Duration box.
KEY TERM
Duration

Duration is how long the effect itself takes to play, so it sets its speed. A longer duration means a slower effect. It is not a delay before the effect, not a repeat count, and not how long the slide stays on screen.

Longer duration→Slower effect
File → New
Blank Presentation

Plain white slides. No design.

File → New
Themes

A matching set of colours, fonts and effects.

File → New
Templates

A prepared design, often with sample slides.

"Backgrounds" is not a way to create a new presentation. You set a background on slides that already exist (Design tab).

KEY TERM
Template (.potx)

A template is a pattern or blueprint for slides: theme colours, fonts, backgrounds, layouts and placeholders. It is saved as a .potx file. Opening it starts a new presentation that already has the design.

GOOD DESIGN: DO
  • Use one consistent colour scheme on all slides
  • Pick fonts that look good and are easy to read
  • Use high-quality images and graphics
AVOID
  • Too many animations and transitions
  • Long paragraphs on one slide
  • Tiny text the back row cannot read
  • Used sensibly, a transition makes a deck look more polished and holds the audience's attention as the slide changes.
  • The default slide orientation is landscape (wider than tall), because screens are wide. Newer versions open widescreen (16:9) slides. Portrait can be chosen from the slide size settings on the Design tab.

Frequently Asked Questions

What is MS PowerPoint used for?

PowerPoint is the Microsoft Office program for making presentations. A presentation is a set of slides with text, pictures, charts and video, shown one after another on a screen.

What is the shortcut to start a slide show from the current slide?

Shift+F5. F5 alone starts from the first slide, and Esc ends the show.

What is a placeholder in PowerPoint?

A placeholder is a pre-formatted box with a dotted border on a slide, such as "Click to add title". You click inside it to type text or add a picture, table or chart.

What is Slide Sorter view?

Slide Sorter shows small thumbnails of all slides in order. You use it to drag slides into a new order, or to copy, hide or delete them.

What is the difference between a transition and an animation?

A transition is the effect when one whole slide changes to the next. An animation moves one object, like a picture or a line of text, inside a slide.

What is the file extension of a PowerPoint presentation?

PowerPoint 2007 and later save presentations as .pptx by default. Older versions used .ppt. A template is .potx and a file that opens as a show is .ppsx.

What does Presenter View show?

On the presenter's own screen it shows the current slide, the next slide, the speaker notes and a timer. The audience sees only the slide.

Where are speaker notes typed in PowerPoint?

In the Notes pane below the slide in Normal view, or in Notes Page view. They are not shown to the audience during the slide show.

Which key goes to the previous slide in a slide show?

Page Up, P, Backspace, or the left or up arrow. Page Down, N, Enter, Spacebar or the right arrow go to the next slide.

What is the shortcut key to add a new slide?
